Privacy Policy

NTT BizLink, Inc. (hereafter called gBizLinkh) strongly recognizing that it is a company that manages the Personal Information of customers and employees for itfs main businesses, data center services and video conference services, has defined the following Personal Information Protection Policy to ensure the protection of Personal Information.

1. Acquisition, Utilization and Dissemination of Personal Information
BizLink will define the Purpose of the Use of Personal Information and the scope of the dissemination of Personal Information and shall acquire this information by legal and fair methods and only utilize or disseminate such information within the scope of the Purpose of Use of Personal Information. If, for some reason, the need arises to use Personal Information in a manner that is not defined in the Purpose of Use of Personal Information, the individual shall be contacted for approval,
2. Compliance
When managing Personal Information, BizLink will observe Personal Information protection related laws, telecommunications business laws, Personal Information protection statues, Personal Information protection guidelines and other regulations regarding Personal Information protection.
3. Safe Management of Personal Information
BizLink will implement safety measures (including organizational, individual, structural and technical safety management measures) based on the thorough consideration of risks such as Personal Information leaks, loss and destruction, and will regularly maintain, improve and correct these measures.
4. Disclosure and Responses to Inquiries
We will respond promptly to requests from providers of Personal Information for the disclosure, correction and deletion of Personal Information, complaints and consultation.
5. Continuous Improvement
BizLink will appropriately maintain a system for Personal Information protection and work hard to continuously improve the system based on changing conditions and social trends regarding Personal Information protection and by regularly evaluating risks from various perspectives and implementing new measures to mitigate risks.

The management of Personal Information regarding services provided by BizLink is defined as follows:

1) Purpose of the Use of Personal Information
When managing (1) Personal Information during the process of the sales and delivery of (2) BizLink services, BizLink defines the Purpose of the Use of Personal Information as follows:
1. Personal Information means information about private individuals that includes information that identifies an individual such as a name, surname, birth date and other descriptions that can be easily matched with other information to consequently know the identity of an individual. For customers that are not private individuals, Personal Information includes information on the customerfs representatives, directors and employees that is managed by BizLink for the purpose of providing BizLink services.
2. BizLink services are defined below.
hTelecommunications business as defined by the Telecommunications Business Lawh, gthe construction, maintenance, sale and lease of information telecommunication network systemsh, gthe development, sale, maintenance and lease of hardware and software for information telecommunication network systemsh, gthe consignment, representation and operation of various information collection services, information delivery and distribution services, information processing services, measurement services, advertisement/promotion/sales related tasks utilizing information telecommunication networksh, gthe consignment, representation and operation of authentication and settlement processes for business transactions utilizing information telecommunication networksh, gthe paid provision of value-added information networks under the Telecommunications Business Lawh, gthe acquisition, sales, licensing and operational management of copyrights, design rights, trademark rights and industrial property rightsh, gthe consignment of planning, investigation, research, training and consulting services related to the above servicesh and all other services and products provided by BizLink, including all other associated services.

(1) In response to customer applications, usage and inquiries regarding BizLink services, the following Personal Information handled by BizLink within the scope required to execute contracts, will be utilized for the identification of customers, credit management, provision of BizLink services, calculation and billing of BizLink service fees, mailing of catalogs/materials/contract documents related to BizLink services, as well as communications and notification to customers regarding the implementation of the above. In addition, it will be used within the required scope in order to implement BizLink services such as the release and mailing of introductions of BizLink services and notification of events, suggestions and consulting, execution of BizLink quality of service improvements and CS (customer satisfaction) enhancement measures (including questionnaire surveys), planning and development of new BizLink services, market research and internal research of BizLink services, management and improvement of equipment needed for BizLink services, repair and maintenance of BizLink services, after-sales service support and other BizLink services. Personal Information may be utilized within the scope of the above purposes even after BizLink service contracts with the customer have been terminated.

  • Name, content, application, service start/suspension/end dates of BizLink services applied for or used by the customer
  • Customerfs address, full name, telephone number, age, birth date, e-mail addressc
  • BizLink service installation site address and contact information (name, telephone number, e-mail addressc)
  • Billing address, name, telephone number and other information necessary for billing such as financial institution account number and account holder, credit card number, past payment status
  • Telecommunication start time, telecommunication end time, duration of telecommunication, telecommunication target number and other information necessary to calculate telecommunication fees
  • Troubleshooting status, failure history information, facility information necessary for troubleshooting
  • Items among the information enlisted in the document provided by the customer for identification that fall under the definition of Personal Information
  • Any other information that falls under the definition of Personal Information that will be handled by BizLink regarding customer application, use and/or inquiries for BizLink services

(2) The following Personal Information that will be managed by BizLink when customers contact our customer service for consultations or requests (includes failure reports and requests for disclosure of Personal Information, which is also included below) will be used within the scope necessary to handle consultations and requests from customers, as well as within the scope necessary for the development of new BizLink services and BizLink quality improvements based on customer opinions and consultations.

  • Name, address, telephone number, e-mail addressc of customer making inquiry
  • Other information contained in the inquiry that falls under the definition of Personal Information

(3) The following Personal Information will be handled by BizLink when customers participate in questionnaire surveys and other research *3 or enter prize competitions conducted by BizLink (hereafter called gparticipating in questionnaire surveysh) will be utilized within the scope necessary for sending materials needed for the questionnaire survey and other research or sending rewards and prizes, introducing BizLink quality of service improvements, new service developments and/or other BizLink services, and for making suggestions and consultations.

  • Name, address, telephone number, e-mail address, age, birth date, occupation, genderc provided by customers participating in questionnaire surveys
  • Other information provided by customers participating in questionnaire surveys that falls under the definition of Personal Information

*3 Questionnaire surveys and other research questionnaire surveys, as well as research regarding the testing of new BizLink services and monitoring research of BizLink services.

(4) The following Personal Information that will be handled by BizLink when executing tasks consigned by other businesses (sales and commission of products and services of other businesses) will be utilized within the scope necessary for the execution of such consigned tasks, introduction of products and services of these businesses and the notification of events. When BizLink consigns part of the task, Personal Information received from such consignment business will be used within the scope necessary for the execution of the task.

(5) Personal Information handled by BizLink may be provided to other businesses that BizLink consigns a task under the provisions set forth in the Personal Information Protection Law Article 23 clause 4 number 1. However, except when otherwise set forth under provisions of Bizlink contract conditions, Personal Information Protection Law, Telecommunications Business Law or any other regulations, such information will not be disclosed or provided to a third party without prior consent of the information owner.

(6) If the need to use Personal Information beyond the scope of the previously expressed purposes arises, BizLink shall notify the information owner accordingly and use the information with the consent of itfs owner.

2) Inquiries about the disclosure, correction and deletion of Personal Information, complaints, consultation and other inquiries
¡ Regarding disclosure, correction and deletion of Personal Information, please fill in the form provided and send it to us by Simplified Registered Mail (Kan-i kakitome).
Postage will be at the customerfs expense. Also, for notifications and disclosures, a handling fee (1,000 yen) should be transferred to a designated account (confirm by telephone) and a copy of the bank transfer request slip should be sent by Simplified Registered Mail (Kan-i kakitome) mail. After confirming the customerfs identity, the request will be processed.
